Hours become the invoice
Build invoices from tracked time and expenses in Quanta, send them, and they go to QuickBooks Online.
Tax codes on every line
Each line carries its QuickBooks tax code and QuickBooks calculates the tax. When QuickBooks rounds a line differently, Quanta adopts its tax so both totals match.
Customers matched by name
Quanta finds the customer in QuickBooks by name and creates it on first sync if it is not there yet.
Payments applied
Record a payment in Quanta and it is applied to the invoice in QuickBooks.
Other currencies
Invoices in another currency use QuickBooks' exchange rate for the date. Turn on multicurrency in QuickBooks first.
How the sync works
- 1
Connect QuickBooks Online and choose your company.
- 2
Finish setup: pick the default item and map your tax codes.
- 3
Send an invoice. It goes to QuickBooks automatically when auto-sync is on, or click Create invoice in QuickBooks.
- 4
Record a payment in Quanta. It is applied to the invoice in QuickBooks.
- 5
Optional: turn on pulls to bring invoices or payments over from QuickBooks, one at a time.
Questions
- Does it sync automatically?
- Yes, when auto-sync on send is on. You can also push each invoice by hand.
- Does it import from QuickBooks?
- Only if you turn imports on, and they are never automatic.
- Can I invoice in more than one currency?
- Yes, with multicurrency on in QuickBooks. If QuickBooks has no exchange rate for the date, the push stops with an error instead of recording the invoice at the wrong rate.
- Why might a total differ by a cent?
- QuickBooks rounds tax per line. After a push, Quanta adopts QuickBooks' tax when the difference is only rounding, before any payment is recorded.
- Can I create an invoice in QuickBooks without emailing it?
- Yes. QuickBooks has no drafts, so use Mark as sent and create it in QuickBooks, which skips the email.
- Can I connect QuickBooks and Xero at the same time?
- No. Each workspace connects to one accounting system at a time.
- Will it change things I did not ask for?
- No. Pushes send only the invoices and payments you choose, and pulls stay off until you turn them on.
