Item types

Categorise invoice lines (Service, Product, Consulting) and drive the product or account mapping in your accounting system.

Every invoice line can carry an Item type. On the invoice itself it is a label in the Item Type column. Its real job is in the accounting sync: QuickBooks maps each item type to a product or service, and Xero maps it to a revenue account.

Managing item types

Administration → Invoice Item Types (also reachable from Manage Item Types on the Invoices page).

  • Add Item Type takes a name, e.g. Service, Product, Consulting.
  • One type is the Default: pre-selected on new invoice lines and used for lines with no item type. Set as default on any row changes it.
  • Inactive item types are hidden from the invoice form but keep their history.
  • Delete: if any invoice line uses the type it is deactivated instead, so history is preserved.

Workspaces start with a small set of item types already seeded.

In the accounting mapping

  • QuickBooks (Integrations → QuickBooks → Mappings → Product / service per item type): leave a type on Auto-match by name to link it to a QuickBooks product/service with the same name, or pick a specific product. A service that sits under a category is fine.
  • Xero (Integrations → Xero → Mappings → Revenue account per item type): pick a default revenue account, then override per item type where your chart of accounts splits revenue.
