Locked entries

Why an entry shows a lock, what each reason means, and who can undo it.

A lock badge on an entry means it can no longer be edited or deleted from the timer. Hover or click the badge (Why is this entry locked?) to see which of these it is.

Reasons

This entry is locked. An admin locked it from the Detailed report, usually before payroll or invoicing.Anyone holding the unlock permission, via Mark as → Unlocked on the Detailed report.
Billed on invoice INV-0042.The entry was imported onto an invoice.Nobody, while the invoice exists. Void or delete the invoice and the time becomes uninvoiced again.
Part of the closed statement … on retainer …A retainer period was settled and the entry was inside it.Reopen the statement on the retainer.

A closed timesheet group can also lock everything before a chosen date when it is set up; see Timesheet groups.

What still works

Locked entries are still counted in reports, budgets and utilization. You can resume a locked entry; the new entry is always a fresh, unlocked one, even in a duration-only workspace where resuming today's work usually continues the same entry.

Locking on purpose

Admins lock a batch from the Detailed report: filter to the period, select the entries (Select all N matching catches every one the filters cover), then Mark as → Locked. Locked entries export with an approved flag in Excel. This is the simplest way to freeze a month once it has been invoiced or paid out.
